Word Template Design Brief

Maven Partners a boutique Executive Search and Recruitment firm, recruiting senior specialist advisors in the fields of Audit, Advisory, Tax Accounting, Corporate Finance and Law. The majority of our clients are professional services firms, i.e. Accounting firms and Law firms.

The ‘Research List / Market Map’ document we currently use to produce and then present to clients is a "long list" of candidates or prospective target candidates. It is a bit dated, and the formatting can be fiddly. So we would like someone to freshen it up and simplify it so that is functions much more effectively as a usable, consistent Template and it needs to be in MS Word. We are looking for something simple and contemporary, but professional, given the nature of our clients - usually Managing Partners or very Senior Partners - in Accounting and Law firms. We need it to be easy to use, so that we can just copy and paste information into it without the formatting requiring constant adjustment and checking.

The "usual" sequence of the document:

- Cover page - includes the name of the company we are sending it to, the role we are recruiting for, and a sketch of the city the role is in (or similar other sketch). The Maven Partners brand is also featured.
- Confidentiality summary page,
- Table of contents - we would like this to be automated so that page numbers adjusted automatically to be accurate with contents page
- Project summary - usually 1 to 2 pages summarising the purpose of the project and the content of the document
- "Highlighted Candidates" page, which are targets / candidates we think are likely of particular interest to our client.
- Then a page or number of pages (depending on the nature of the search, this is sometimes up to 5 to 6 pages for each and every firm….with an average of 3/4 individuals per page. Other times, it may be just one individual per employer/firm) listed by firm with the following details of each candidate:
- Photo of target individual
- Name of individual
- Job title
- Location
- Summary of the individual and their experience, which can be between 1-2 paragraphs.

We are open to suggestions with respect to the above, i.e. improved format / layout / order of information.


We currently group target candidates by the firm that currently employs each. Each firm has the heading and we like them grouped this way, as do our clients as it assists with seeking feedback / market information from various stakeholders inside the client. We tend to group very large firms (PwC, KPMG, Deloitte, EY) at the beginning of each market document, followed by large international mid tier firms, followed by quality boutiques and smaller firms. Whilst it can vary somewhat, generally speaking the larger firms are comprised of a larger number of potential targets than smaller firms. For obvious reasons.

I have attached an example of what we currently have, but please bear in mind this is a mock up for confidentiality reasons. I haven't included the confidentiality summary page, or the project summary either. Ideally for integration purposes, and to make it simpler to copy data from our CRM system and paste into the document, there will be a hidden table for the candidate information.

We also want a new font, as the one we have (DIN) needs to be downloaded by each user and if we send the document in MS Word format, the formatting can be totally unreadable to the recipient or at the very least can impact the layout and format. So perhaps a simple font that we can use as part of our brand, but that still looks smart and contemporary.

Once we finalise this word template, we will need to match it with our other proposal documents, terms of business, powerpoint templates etc, and we also need to refresh/redo our website.
